What data should be entered for intercontinental air shipments?

To ensure proper handling of customs procedures and avoid delays or blocks during clearance, it is essential that each air shipments departing from the European Union  includes the following mandatory data:

Sender details

  • Full name, address, phone number and e-mail;

  • VAT number or business registration – valid for exports outside the EU (Valid EORI);

  • Nature, composition and intended use of the shipped goods.

Additionally, for destinations subject to customs controls:

  • Country of origin of each shipped item (e.g. China);

  • Complete and correct HS Code (customs code) for each shipped item (e.g. 4819 1000 00 – Corrugated paper or cardboard boxes and bags).

Recipient details

  • Full name, address, phone number and e-mail

  • VAT number or business registration.

The above data is mandatory for all destinations and regardless of the invoice value.

If this information is missing, shipments will be held for further checks and, if the data is not provided, returned to the sender with service charges applied.
